Email Templates

Email templates can be created by your systems administrator or account manager and then allocated to specific selling Channels for quicker communication with your customers and suppliers.

How to allocate email templates to a Channel

  1. Log into Kaptio Travel and select Kaptio Travel Settings from the drop down menu in the top right hand corner of your screen.
  2. Click the Channels tab at the top of your screen.
  3. Select the Channel for which you wish to create a template.
  4. Click Emails on the left hand side of your screen and the following will appear:emails-b
  5. Under From Email enter the the Channel From Email Name and Channel From Email address which should be used when sending out automated messages to customers and suppliers. If nothing is selected, then the default is always the individual User who is allocated to the related itinerary.
  6. Under Customer Email Templates select the relevant sales Invoice template, Voucher template, Voucher PDF Page as well as the Customer Comment notification from the relevant drop down menus. The Email and PDF Visualforce template options on these drop down menus are standard Salesforce features and will have been created as defaults either by Kaptio or by your system administrator. For assistance please contact your account manager or help@kaptio.com.
  7. Under Customer Payments Templates select the relevant Payment Follow Up, Deposit Payment Confirmation, Payment Confirmation and Refund Confirmation templates from the drop down menus. The Email template options on these drop down menus are standard Salesforce features and will have been created as defaults either by Kaptio or by your system administrator. For assistance please contact your account manager or help@kaptio.com.
  8. Under Supplier Email Templates select the relevant Supplier Confirmation, Supplier Comment and Supplier Copy templates from the drop down menus. The Email template options on these drop down menus are standard Salesforce features and will have been created as defaults either by Kaptio or by your system administrator. For assistance please contact your account manager or help@kaptio.com.
  9. Once you have added all details click Save.
